Ford are a major sponsor of the UEFA Champions Leage. The company invests heavily in the event each year, and as part of their sponsorship they invite around 1100 guests to attend the Champions League Final.
In 2007 Dataflow Events was priviliged to work with Ford and Imagination on delivering a pre-event web management system which would manage all of their real time logistics data. Ford had very specific requirements.
Firstly, they had a three tier hierarchy of local Ford contacts across Europe, within which tickets would need to be distributed.
Secondly, they had a number of packages available including flights and accommodation, with different levels of hospitality, arrival dates and VIP access at the match.
Lastly, with delegates coming from all over Europe, they needed the site available in seven different languages. The user must be able to select their preferred language when they entered the site that should be carried through for all correspondence.
In response, Dataflow Events built a system that incorporated all their requirements. An advanced back-end administration system allowed tickets to be allocated to countries by the main administrators, which in turn could be distributed to local administrators to invite their preferred customers.
The back-end offered administrators the ability to issue invitations and re-allocate tickets between countries as teams were knocked out of the tournament and countries from winning teams requested more packages.
Dataflow Events reporting gave the event organisers a graphical report to see at a glance how many invitees registered from each country, and where tickets remained unallocated. Accommodation and travel reports allowed organisers to keep tight control of reservations and airport transfers across multiple hotels.
Finally, our onsite team ensured that all databases were kept up-to-date throughout the event and organisers were informed of any changes so that invitees requirements could be catered for.
